Summary

Incumbent will be responsible for:

  • Providing clerical administrative assistance.
  • Serving as the liaison between Anesthesiology Service, Nashville and Murfreesboro campuses, and its affiliates. and the Vanderbilt Anesthesiology Department.
  • Coordinating and monitoring the credentialing and privileging of all Anesthesiology Service personnel.
  • Providing technical guidance to administrative support staff.

Responsibilities
  • Coordinating the flow of work among administrative staff, ensuring adequate coverage during periods of staff absences.
  • Establishing priorities on a daily basis and consulting with the Chief, Anesthesiology Service on complex and/or unusual issues.
  • Placing and receiving visitors and phone calls from all levels of personnel, determining the nature of the call/visit, and directing to appropriate personnel as needed.
  • Coordinating scheduling of personnel including clinical and administrative meetings, appointments, lectures, etc..
  • Preparing and maintaining weekly assignment schedule for daily caseload.
  • Conducting orientation of 3rd and 4th year medical students to Anesthesiology Service.
  • Coordinating 1st year medical student summer Anesthesiology internships, receiving applications, scheduling interviews, and organizing their schedules.
  • Making travel arrangements for conferences and meetings.
  • Arranging meetings/conferences.
  • Preparing, assembling, and distributing call schedules for Anesthesiology Service and Vanderbilt Anesthesiology Liver Transplant team.
  • Preparing, reviewing, and correcting all types of correspondence, forms, manuscripts, and reports.
  • Recording and preparing minutes of meetings.
  • Receiving, responding, and filing correspondence.
  • Coordinating the appointment and processing of residents, verifying level of training to ensure pay is set accordingly.
  • Submitting proficiency reports for professional staff members.
  • Scheduling appointments and lectures for medical students.
  • Developing and maintaining a suspense system.
  • Preparing and maintaining files in accordance with VA regulations.
  • Serving as timekeeper for Anesthesiology Service.
  • Maintaining and monitoring personnel staffing needs.
  • Advising and providing recommendations for present and future manpower utilizations.
  • Supervises administrative support personnel.
  • Quality Assurance performance and outcome, monitors reporting for Anesthesiology service, and monitors/compiles compliance information. Work Schedule: Based on the needs of the service. To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/02/2018.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. Note:Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience and/or education as described below: * Specialized Experience: Applicants must have one or more years of specialized experience related to this position. This experience must have been equivalent to at least the GS-6 grade level in the Federal Service. Specialized experience is experience that equipped the applicant with the particular competencies to perform successfully the duties of the position, and that are typically in or related to the position to be filled such as a clerical and administrative support position in a medical/clinical setting, and which has equipped the applicant with knowledge of medical terminology, computer proficiency, correspondence procedures, and ability to work independently. Applicants, who have the 1 year of appropriate specialized experience, as indicated, are not required by this standard to have general experience, education above the high school level, or any additional specialized experience to meet the minimum qualification requirements. In addition to meeting the required experience or education requirement, candidates must be proficient in typing. Proficiency in typing must be documented on candidate's application or other written format (i.e., I certify that I can type 40 words per minutes, initial and date).

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements:Work is generally sedentary. Typically, the Program Support Assistant (OA) sits comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items such as papers, books, small pieces of equipment and supplies, or driving an automobile. No special physical demands are required to perform the work.

Work Environment: Work environment involves everyday risks or discomforts of a medical center/hospital environment that require normal safety precautions typical of places such as offices, meeting and training rooms, or libraries. The workspace is adequately lighted, heated and ventilated.
