IT Asset Analyst Associate

Assists in the maintenance and analysis of IT costs, creating detailed reporting on budget/forecast, procurement, technology lifecycle, and services spend. Participates in maintaining the IT Asset Repository database for all technology assets. Maintains IT Contracts and Requests & Authorizations (R & A) repositories.
KEY RESPONSIBILITIES (other duties as assigned):
Participates in the accounting month end close process for Corporate IT departments, explaining variances and ensuring that departmental reports are accurate. This position performs monthly reconciliations of cost line items in the IT Budget. Prepares adjusting entries based on the reconciliations and any incorrect transactions. Prepares accrual entries based on expenses that have not been invoiced including time reported by contractors and reports detail variance explanations. Prepares asset creations, transfers, and disposals for month end close
Monitors and analyzes budget and forecast reports. Updates items for monthly forecast using detailed reconciliations for current projections for the fiscal year. Participates in continuous improvement process by proposing updates to processes, reports, etc. Performs monthly forecast to actual reporting on assigned items showing variance trends. Update account forecasts based on changes to technology, projects and suppliers. Prepare monthly forecast update spreadsheets and tracks and reports on budget and forecast accuracy for IT
Monitors and reports on R & A's including reconciliations and audits. Maintains data in the R&A repository for approved and in-process R&A's. Tracks costing for R&A's, reporting projected remaining spend and status.
Maintains and audits the asset repository ensuring accuracy of lifecycle information to keep accounting (fixed asset) and refresh records accurate. Assists in the analysis and reporting of lifecycle and total cost of ownership (TCO) of assets. Assists in the maintenance of data for lifecycle costs for IT infrastructure equipment
Assists in the maintenance of the IT hardware and software standards listings. Assists in maintaining the standard part listing from E1 with current pricing, communicating changes to IT organizations as directed. Participates in software audits with external suppliers and internal personnel (E.g.- Microsoft, Cisco, Adobe)
Assists in IT equipment lease tracking and reporting, working with manager and accounting on proper accounting and tracking. Gathers data for lease processing to return equipment, ensuring that billing and disposal requirements are completed. Tracks and assist in reporting on lease return compliance
Assists in the organization and maintenance of the IT Contract repository. Monitors contract dates for reporting to IT management, maintains current active contracts with detail information for searching and reporting, reports out upcoming renewals and expirations of contracts based on lifecycle requirements, and maintains and reports financial liabilities from contracts
Assists with placing orders for equipment and services; supporting ordering and upgrading of telecom services, including cell phones; and supports receiving of product, supplier inquiries, and customer communications
SCOPE & IMPACT:
This position assists in monitoring, analyzing and updating the IT budget and reporting on departmental costs. Performs a variety of duties involving IT asset lifecycle and associated costs including contracts and leases for the corporation.
Bachelor’s degree in Accounting, Finance, or related field with 0-2 years of relevant experience or equivalent
General accounting knowledge/experience
• Lease costing experience
Accounts payable and or supplier/payment related financial transaction experience
Project costing experience and general IT technical knowledge
SUPERVISORY RESPONSIBILITIES: None.
PHYSICAL DEMANDS/WORK ENVIRONMENT:Operates in a professional office environment, often required to sit, repetitive hand motion (such as typing), hear, listen, and lift up to 20 pounds. Seldom required to talk, stand, walk, bend, stoop, reach overhead, and lift up to and over 50 pounds.
